| Reservation Procedures
Making Reservations
To book room reservations through Marketing Ahead, a three-night stay is required.
We will take your reservation over the telephone and have a confirmation in 24 hours. Our phone number is 800-223-1356. A statement of confirmation and invoice will be mailed or faxed to you immediately. All reservations have to be fully prepaid in advance by check, money order or major credit card no later than four weeks before your first confirmed reservation. A deposit of $50 per hotel is required upon receipt of confirmation to hold reservations until your final payment.
For train trips, Marketing Ahead requires a deposit of $1,000 to begin processing reservations, either by check, American Express, Visa or MasterCard. No reservations can be processed without the initial deposit. Final payment of the balance is required at least 60 days before the scheduled departure, and should be made by check.
The Marketing Ahead Room Voucher System
Once Marketing Ahead has received your final payment, you will be mailed Marketing Ahead vouchers. These vouchers will be accepted by the hotels as your payment. Although the voucher system is not common in the U.S., it is standard in Spain and Portugal.
When you arrive at your hotel, you will submit your voucher to the front desk. Specific room assignments are made when you check in. Rooms are guaranteed; however, if you are going to arrive after 8 pm, we recommend that you call the hotel.
When you receive your vouchers from Marketing Ahead, please check them for accuracy. Contact us immediately if you find any discrepancies.
A $25 processing fee is applied for each change of date, property or accommodations in a confirmed reservation. There is no charge for adding nights or rooms.
Rates
Specific room and luxury train rates will be quoted upon request for an exact date. We will contact you with the price by phone, E-mail or letter. The lodging places we represent cost from as little as $150 a night for a double in a three-star establishment to $350 or more for a five-star hotel. A price list is not available due to periodic adjustments of hotel rates.
All Marketing Ahead room prices include breakfast, tax, and service. If desired, a "half pension" (lunch or dinner) can be provided upon request.
Rates at all properties represented by Marketing Ahead are set in U.S. dollars and guaranteed once we have received your final payment, regardless of any fluctuation in the currencies exchange. Rates may change, without prior notice, any time before receipt of final payment. Rates will not necessarily reflect the specific exchange rate of the date that the voucher is used.

Payments
Deposits and full payments to Marketing Ahead can be made by check, money order, travel agency check or major credit card. A $20 service charge will be assessed for checks returned for insufficient funds or any banking problems arising from the clearing of checks.
Final payment must be received at least four weeks prior to the date of the first confirmed reservation.
Cancellation / Refund Policy
The following cancellation policy applies to paradors, pousadas and hotels represented by Marketing Ahead:
- Hotels/Paradores/Pousadas cancellations: Once reservations have been confirmed, there is an automatic cancellation fee of $25 per room, per hotel. Cancellations received with less than three days of the scheduled arrival will have a penalty of one night for each room cancelled, per hotel, plus a 3% charge of the total value of the reservations cancelled, to cover the expenses of the credit-card charges. These conditions may differ for specific hotels and seasons. The same policy applies if reservations are cancelled directly with the hotel.
- Hotels/Paradores/Pousadas changes: There will be an automatic $25 fee for changes of dates in confirmed reservations and also for changes in the number or type of rooms.
- Car Rentals: There will be an automatic fee of $25 for car rental cancellations plus a 3% charge on the total value of the rental to cover the expenses of the credit-card charges.
- El Transcantábrico: Please refer to the special cancellation and payment conditions provided with the train information.
- Refunds: Refunds for cancelled pre-paid reservations require the returning of the hotel and car vouchers and will take at least 30 days to process.
Signed authorization of Charge Card form implies acceptance of all terms and conditions.

Remittance of payment means acceptance of all Marketing Ahead rules and conditions as described here. No claims will be honored unless they are in accordance with these claims.
Please inquire about the cancellation policies, refund policies and insurances on the luxury train trips. The operator of the Transcantábrico luxury train reserves the right to modify prices and tour programs at any time, without prior notice.
